AI Voice Receptionist for a Clinic
An AI phone receptionist that answers clinic calls, checks the calendar, books appointments and logs every caller in a CRM, with no human needed.
Clinics miss calls when the front desk is busy, and every missed call can be a lost patient. I built an AI receptionist that answers every call, 24/7.
How it works: a Vapi voice agent picks up, greets the caller and answers common questions (hours, services, location). It collects the caller's name, reason for the visit, phone number and preferred time, then sends everything to Make.com in a single tool call.
Make searches Google Calendar for that slot. If it's free, the appointment is created straight away. If it's taken, the caller is offered another time. The caller and the booking are saved to an Airtable CRM, and the result is sent back to Vapi so the agent can confirm it on the call.
Built so it can be copied for more clinics: each clinic gets its own calendar, CRM base and voice prompt, all running on the same scenario design.
